Setting up multiple locations
How to add a second location, what data is shared across locations, and how staff scope works.
Updated June 4, 2026
Schools that grow to a second site need a place for everything to live without mixing up the two locations' classes, students, and rosters. Rosterra handles this with locations.
Adding a location
- Go to
/settings/locationsand click Add location. - Fill in the name, address, time zone (if different from your main site), and the contact info for the on-site manager.
- Save.
The location is immediately available everywhere you would tag one: classes, attendance, parties, events, kiosk devices.
What is shared across locations
- Students and families. A family with kids at two sites is one household with one card on file. Rosterra knows which classes are at which site.
- Programs and pricing. Set once, used everywhere. If you want different prices at different sites, set up parallel programs.
- Rank ladders. Set once.
- Waivers. Set once. Versioned the same way.
- Stripe. One Stripe account per school regardless of how many sites you run. Payouts go to one bank account.
- Brand and parent portal. Same look and feel across sites. The portal can show which classes are where.
What is scoped to a location
- Classes and weekly schedule. Each class belongs to one location.
- Attendance and kiosk. Each kiosk device is assigned to one location.
- Staff. A staff member can be scoped to specific locations. They see and edit only those locations.
Scoping staff
When you invite or edit a staff member at /settings/staff, you can:
- Leave their scope open. They see everything. Owner role is always open.
- Pick specific locations. They see only those.
This is useful when a site has its own manager who should run their own attendance and roster without touching the other site's data.
Pricing
Rosterra prices by location. Your subscription scales with the number of active sites. Pause or close a location and the billing reflects it on the next cycle.
Switching the default location
The default location shapes what appears at the top of dashboards. Set yours at /settings/branding. If you spend 90 percent of your time at one site, set it as the default so the dashboards open there.
Moving a class from one location to another
Open the class and change its location. The schedule reflects the change immediately. Past attendance stays attributed to wherever the class was at the time it happened, so historical reporting is still accurate.
