Switching everyone to billing on the same day of the month
How to move all your families from "charge on enrollment day" to "charge on the 1st" without surprising anyone.

Many schools start with "charge each family on their enrollment day" and later switch to "charge everyone on the 1st" for accounting simplicity. Here is how to do the switch cleanly.
Why the switch
The biggest reason: it makes your bookkeeping easier. Every family pays on the same day, so your monthly revenue report is a clean comparison from month to month. You also know exactly when your cash is coming in.
The biggest cost: a one-time period of partial charges to align everyone. Plan for this.
The migration plan
The cleanest path:
- Announce the change. Send a broadcast email a week ahead saying "we are moving all tuition to the 1st of each month. Your next bill will be a partial charge to align you to the new schedule." Be specific about why and what they will see.
- Switch the program setting. Go to
/settings/programsand change the billing cycle from "monthly from enrollment" to "aligned monthly on the 1st." - Rosterra runs a one-time alignment. Next time each family is billed, the system charges a prorated amount for the days between their old bill date and the next 1st. Family pays the prorated amount once, then 30 days of full tuition on the next 1st, every 1st thereafter.
What families see
Each family sees one partial charge. The next email receipt explains: "Your next charge is a partial month to align you to our new monthly schedule. Your full monthly tuition will resume on the 1st."
About 5 percent of families will email asking why their charge is different. Have a ready reply.
Handling exceptions
Some families want to keep their old schedule. To preserve a family's anniversary billing, on their profile go to Billing rules and set Custom cycle. Their cycle is left alone; everyone else moves to the 1st.
What about families with multiple kids?
The household pays one combined invoice. The switch applies to the whole household at once.
What about families that just enrolled?
Brand-new families (last 7 days) are often left on the old schedule for their first month, then aligned on the next switch. This avoids a confusing "you just signed up two days ago and now you owe 2 dollars" experience.
To do this, the staff side has a "Skip alignment" toggle on each membership. New enrollments get it for their first month automatically.
After the switch
For the first 2 to 3 months, watch for:
- Higher refund volume. Some families miss the announcement and dispute the partial charge. Respond quickly with a short explanation.
- Higher attempted-card-update activity. Worth confirming Stripe's success rate stays normal.
- Bookkeeper questions. Heads-up your accountant before the switch month so they are not surprised by the partial charges.
After 2 to 3 months, the new schedule is normal and you will not think about it again.
