Selling pro shop items

How to set up a retail catalog (uniforms, gear, swag), price items, and sell at the desk or in the mobile app.

Most schools sell more than tuition. Uniforms, sparring gear, water bottles, branded t-shirts. The pro shop module lets you handle them inside Rosterra instead of a separate POS.

Adding products

Go to /retail/products and click New product. For each product:

  • Name and a short description.
  • Price.
  • Photo. Add the main image and a few alternates if you can. Photos sell.
  • Variants if applicable (uniform sizes, color choices).
  • Stock level if you want to track inventory.
  • (Optional) Category and tags for filtering.

Selling at the front desk

From /retail/checkout, pick the customer and add items. Pay with a Square terminal for card-present, or with the card on file for a quick "add to my account" sale.

If you do not track stock, the sale is recorded and you are done. If you do, the stock level decreases automatically.

Selling in the mobile app

Every product you mark as mobile available shows up in the family's mobile app pro shop. Families browse, add to cart, and check out with the card on file.

They pick up their order at the desk on their next visit. The pickup queue is at /retail/orders.

Tracking stock

Set a stock level when you add the product. Each sale subtracts one. When it hits zero, the product is hidden from the mobile app and flagged on the staff side so you can reorder.

Restock by editing the product and bumping the stock number when the new shipment arrives.

Variants

Uniforms have sizes. Sparring gear has colors. Set each variant as a child of the parent product, with its own price (if it differs) and stock level.

The mobile app shows the variants as a dropdown. The customer picks before adding to cart.

Returns

A return is a refund on the original sale, with the stock added back. From the order page, click Return and pick the items being returned. The refund flows through the same channel the original payment used (Square if card-present, Stripe if mobile).

Reporting

Pro shop sales show up in your monthly revenue report at /reports/revenue, broken out from tuition so you can see them separately. Top sellers and slow movers appear on /reports/inventory.
