Migrating from Kicksite
How to bring your roster, ranks, and active memberships from Kicksite into Rosterra without losing the family history that matters.
Updated June 4, 2026
Kicksite is a popular system for martial arts schools. The migration to Rosterra follows the same general pattern as other systems, with a few specifics.
What you can export from Kicksite
- Student names, birthdays, and contact info.
- Family groupings.
- Current ranks.
- Active memberships.
- Attendance history (CSV format).
- Belt test history.
You cannot export card numbers (PCI rules). Cards have to be re-collected after the move.
Order of operations
- Set up rank ladder in Rosterra. Match the names exactly to your Kicksite ladder so the import maps cleanly. Go to
/settings/ranks. - Set up programs in Rosterra. Match the names and prices to your Kicksite memberships.
- Export your roster from Kicksite. Use the Members CSV export.
- Clean the CSV. Confirm every active student has a parent email.
- Import at
/memberships/import. Memberships land in pending. - Re-collect cards. Broadcast email to all families with a portal link.
- Bulk-activate all memberships on cutover day.
- Cancel autobill in Kicksite the same day.
Belt rank specifics
Kicksite uses "Belt" terminology and supports stripes. Rosterra does too. The ladder should map one-to-one. If you used "candy stripes" (alternating colors on a single stripe), Rosterra supports that as a secondary color on the rank.
Attendance history
If you want to bring attendance over, export the CSV and import at /attendance/import. Each row is one student-class-date combination. The import preserves dates exactly so a year of history looks the same in Rosterra as it did in Kicksite.
If you do not want to bring it, leave it in Kicksite. Most schools find they never look back more than 6 months anyway.
Belt test records
Kicksite tracks past belt test results. Export them as CSV. In Rosterra, import at /rank-tests/import. Past tests are recorded as historical events; they do not trigger any new promotion workflows because the promotions already happened.
What to tell families
Most families will not notice the change beyond having to update their card. Send a heads-up broadcast a week before cutover:
- Why you are moving.
- What stays the same (the school, the instructors, the rank).
- What changes for them (new portal URL, new login, asking them to update their card).
- The action they need to take.
After cutover
For the first 30 days, you will field a handful of "I cannot log in" emails from families. Most are because they did not see the welcome email or it went to spam. Resend the welcome email from the family's profile and they are set.
