For instructors: taking attendance on your tablet

A quick guide for instructors to mark attendance during or right after class, including notes and make-up credits.

If you teach a class, marking attendance accurately matters for billing, progression, and retention reports. Here is how to do it efficiently.

What you see

When you sign in with your instructor account on a tablet (or phone), the home page shows you today's classes. Tap the one you are teaching.

You see a roster of every student enrolled in that class, with their photos and ranks. Each name has an empty checkbox next to it.

Marking present

  • Tap a student to mark them present. The tile turns green with a checkmark.
  • Long-press a student to add a note (e.g., "Arrived 10 minutes late", "Left early due to family thing"). The note shows on the student's history.

If you tap a student by accident, tap again to undo.

Marking absent

Students who were enrolled but did not show up stay unchecked. At the end of class, anyone still unchecked is automatically marked absent. They are eligible for a make-up credit if your school issues them automatically.

You can also explicitly mark someone absent by long-pressing and choosing Excused absence versus No-show. Excused absences usually qualify for make-up credits; no-shows usually do not.

Adding a walk-in

If someone shows up who is not on the roster (a new family taking a trial, a make-up from another class, a guest), tap Add student at the top.

  • For an existing student doing a make-up, search their name and add them. Their make-up credit is applied automatically.
  • For a new person (trial, guest), tap Add new and fill in basic info. They land in the leads pipeline so the front desk can follow up.

Finishing the class

Tap Finish class at the bottom. The system records every attendance entry, fires make-up credits and progression updates, and clears the roster for next time.

Notes about specific students

A student tile shows badges for things you might need to know:

  • Rank stripe due. They have earned enough classes for a stripe; consider awarding it.
  • Birthday this week. Give them a shout-out.
  • New family. Less than 30 days; be welcoming.
  • At-risk. Their attendance has dropped recently; show interest.

These nudges show only to instructors, not on the parent side.

Common questions

I forgot to mark attendance yesterday. Go to /attendance/history, find yesterday's class, and edit. There is no time limit on edits, but it is good practice to do it the day-of for accuracy.

The student is here but not on my roster. Tap Add student as described above. They will be added to today's class only, not re-enrolled in your weekly class.

My tablet died mid-class. The system saves each tap individually, so whatever you marked is still there. Sign in on a different device and continue.

Two students with the same name. The roster shows the photo and last initial. If you still cannot tell, long-press and the full name appears.
