Selling and redeeming gift cards

How to sell gift cards, what families see, and how to apply one to tuition or a one-off purchase.

Gift cards are great revenue around holidays and birthdays. Rosterra sells them as a regular store item and tracks the balance through the system.

Turning gift cards on

Go to /settings/programs and toggle Gift cards. Pick the denominations you want to offer (most schools offer 25, 50, 100, and 250). You can also allow custom amounts.

How families buy

Families buy gift cards directly from {your-slug}.getrosterra.com/gift-cards. They pick a denomination, enter the recipient's email (which can be themselves), pay through Stripe, and the recipient gets an email with a code.

The buyer also gets a copy and a printable certificate they can put inside a card.

How families redeem

Family redeems by entering the gift card code at checkout, or by adding it to their account at /portal/gift-cards.

Gift cards can pay for:

  • Tuition (the balance is applied to the next charge).
  • Events and parties.
  • Pro shop items.
  • Anything else that goes through Rosterra checkout.

If the gift card balance is more than the purchase amount, the remainder stays on the card for next time. If it is less, the family covers the difference with their card on file.

Selling at the front desk

Sell a card in person from /billing/gift-cards. Enter the denomination, the buyer's name, and the recipient's email. The recipient still gets the email with the code so they have it in writing.

Tracking outstanding balances

Outstanding gift card balances show up as a liability on your reports. Most states treat unredeemed gift card balances as the customer's money for accounting purposes. Check with your accountant if you are unsure.

Expiration

By default, Rosterra gift cards do not expire. State law varies on whether you are allowed to expire them at all, so the safe default is no expiration. To set an expiration date for marketing reasons, edit the gift card after it is issued and add a date.
