Setting up your school for the first time

A short tour of the onboarding wizard, what each step does, and what you can skip until later.

When you sign up, Rosterra opens the Welcome wizard at /welcome. The checklist on that page is the fastest path to a working CRM. Most schools finish it in under an hour.

The steps that matter for everyone

  1. Brand basics. Pick your vertical (martial arts, ninja, gymnastics, dance, or general activity), set your school name, primary color, and the address replies will come from.
  2. Rank ladder. Choose the rank system that fits your style. Belts for traditional martial arts, levels for ninja and gymnastics, stages for dance. You can tweak the names and colors later in /settings/ranks.
  3. First program. Create one program (for example "Youth Karate" or "Toddler Tumble"). Programs are how you bill tuition.
  4. Stripe. Connect your Stripe account so families can pay you. Payouts go directly to your bank account, not through Rosterra.
  5. First class. Add one class on your weekly schedule. You can add more as soon as the wizard is done.

Steps that depend on your setup

  • Locations. Skip if you run a single site. Add them now if you run more than one.
  • Staff invitations. Skip if you are a solo instructor. Otherwise invite your team and pick roles.
  • Membership import. If you are migrating from Zen Planner, Kicksite, MyStudio, or similar, this is where you upload your member roster.

What you can skip safely

The wizard is generous about what it requires. You do not have to finish every box before you start enrolling students or taking attendance. Anything left undone shows up as a reminder on your dashboard until you handle it.

If you need to revisit the wizard, it lives at /welcome and stays available after launch.
