Enrolling students in programs and memberships
How to enroll a student into a program with recurring billing, and what the family sees from their side.

In Rosterra, enrolling a student means starting their membership in a program. A membership says: this student attends these classes, and the household pays this much on this schedule.
Enrolling someone
- Open the student from
/students. - Click Add membership.
- Pick the program. The default price comes from the program, but you can override for this student (scholarships, founders' rate, sibling discount).
- Pick the start date. Charging begins on that date.
- Choose the billing cycle (monthly is the default).
- Confirm.
If the family has a card on file, the first charge runs immediately. If they do not, Rosterra emails them a payment link, and the membership stays in pending until they pay.
What the family sees
- An email confirming the enrollment, with the next charge date and amount.
- The membership shows up in their parent portal at
/portal/billing. - If you also enrolled them into specific classes, those show up in
/portal/scheduleand on the mobile app.
Trying before paying
A common pattern is: free trial week, then enrollment if they like it. Two ways to handle this:
- Free trial in the public flow. Run the public signup at
/signupor/enrollwith a free first class. The lead lands in/leadsand converts to a member when you mark the trial as attended. - Manual trial. Add the student, attach them to a class without a membership, and check them in for the trial. When they decide to sign up, add the membership.
Pausing and canceling
From the membership panel, you can pause (no charge, picks up later) or cancel (no charge, never resumes). Pausing is good for summer breaks or injuries. Canceling closes the membership entirely.
Past-due memberships are flagged on the billing dashboard. Rosterra automatically retries failed charges, so a missed payment does not require any manual action unless the retries also fail.
