How to choose CRM software for your school
A buyer's guide for schools evaluating software: what to test, what to ignore, and what to spend time on.

Choosing software is a big decision. Switching later is expensive. Here is how to make a good choice the first time, applicable whether you choose Rosterra or something else.
Start with the right question
Do not ask "which CRM is best?" There is no single best.
Ask: "Which CRM is the best fit for my school in the next 12 to 24 months?" That is a more useful question and it has a clearer answer.
The fit depends on your size, your vertical, your tech comfort, your team, your growth plan, and your budget.
What to test during a trial
Most CRMs offer a free trial. During it, do these things:
- Set up one program with one membership.
- Add 3 to 5 fake students with parents.
- Run a week of attendance. Actually mark people present and absent.
- Issue a refund. Process a one-off charge and refund it. See how easy or hard it is.
- Send a broadcast to the test families.
- Test the parent portal. Sign in as one of the parents. Update their card.
- Test the mobile app. Install it on your phone, sign in as a parent.
If any of these is painful or confusing, that is the daily experience your team will have for years.
What to ignore during a trial
- Marketing-page feature lists. Every CRM lists the same features.
- Sales demos. They show the polished happy path, not the real thing.
- Testimonials. Selected for a reason.
- Future roadmaps. Vapor.
What you should actually believe:
- What the software does today.
- How fast it is when you use it.
- How clear the error messages are when something goes wrong.
Questions worth asking
When talking to a sales rep:
- How are you priced? Get a specific number for your size. Vague "starts at" pricing is a warning sign.
- Where is the customer's data stored? Cloud region, which country, who has access.
- What is the export format? If you ever leave, what do you take with you?
- What is the uptime guarantee? Look for 99.9 percent or higher.
- How do you handle payment failures? Do they retry? When? How is the family notified?
- Can I see the public landing page on a phone? It matters.
Questions not worth asking
- "Do you have a feature for X?" Most vendors will say yes about anything. Test instead.
- "Are you better than competitor Y?" Of course they will say yes.
- "What is your roadmap?" Vapor.
What to spend the most time on
In order:
- The parent portal and mobile app. Families will spend 95 percent of their CRM time here. Bad portal = bad experience.
- Daily attendance flow. Your instructors do this every class. If it is slow or clunky, it is painful 100 times a week.
- Billing. Specifically, how the system handles failed payments and dispute responses. This is where money is lost.
- Reporting. Specifically the at-risk-member report. This is what saves customers.
Do not over-rotate on:
- Onboarding. You set it up once.
- Branding controls. You set them once.
- Integration with niche tools. Often a sign of a feature you do not need.
How to test the actual experience
Sign up for a competitor's parent portal as if you were a parent. Pretend to be a customer. See what your families would see.
Most CRMs let you do this without a paid account. Just pretend you are at a school using that system. The experience tells you everything.
Sample evaluation rubric
Score each candidate from 1 to 5 on:
- Mobile app for families. Most important.
- Daily attendance flow speed. Daily impact.
- Billing reliability. Money impact.
- Reporting. Retention impact.
- Integration with payment processor. Setup pain.
- Pricing transparency. Long-term cost.
- Support response time. Test by emailing them during the trial.
Add them up. Highest score wins, with strong overrides for any single dimension where the difference is huge.
When to switch
Do not switch if:
- You are currently in tax season or the busiest month of the year.
- Your current system works fine and you do not have a specific frustration.
- You are about to run a major event.
Switch if:
- You have a real frustration that is costing you (lost members, lost money, lost time).
- The new system is meaningfully better on at least 2 of the 4 most important dimensions.
- You can plan 4 weeks of focused effort to do it right.
