Capturing leads from a public signup form

Set up the public signup and enrollment pages so prospects can sign up themselves from your website.

Most schools spend real money to drive prospects to their website. The public signup form is the door those prospects walk through.

The two public forms

Rosterra ships two flows out of the box:

  • Signup form at {your-slug}.getrosterra.com/signup. A short form for interested prospects. Captures contact info. The lead lands in /leads for follow-up. Use this for "request info" or "book a free trial."
  • Enrollment form at {your-slug}.getrosterra.com/enroll. A longer form that signs the family up for a program and charges them. Use this for fully self-serve enrollment.

Most schools start with the signup form, because it converts better when the program is new. Switching to enrollment-only is a later move.

Customizing the form

Go to /settings/public-site to choose:

  • Which programs and classes appear.
  • Whether the form asks for a starting rank (yes if you sell a "first month free" trial).
  • Whether the signup charges a deposit or trial fee.
  • Brand color, logo, and welcome text.

Routing leads

When a lead arrives, they get an immediate confirmation email and a slot in your follow-up pipeline at /leads. Pipeline stages:

  1. New. Just signed up.
  2. Contacted. You called or texted them.
  3. Trial scheduled. They have a date on the calendar.
  4. Attended. They came in.
  5. Converted. They enrolled.
  6. Cold. They went dark.

Drag leads between stages. Add notes and follow-up reminders. Rosterra nags you about leads sitting too long in one stage.

Linking from your marketing site

Put a button on every page of your marketing site (Wix, Squarespace, your own) that links to /signup. The most common spot is the navigation bar with a label like "Try a free class" or "Book a trial."

Automated follow-up

For more aggressive follow-up, set up an automation at /journeys. A common one: send a reminder text 24 hours before a trial class, follow up the next day if they did not attend, send a discount code if they have not converted in 7 days.
