Adding students and linking guardians

How to add a single student, link a parent or guardian, and connect siblings under one household.

Students and guardians are tracked separately in Rosterra. A student is the person enrolled in a class. A guardian is the adult who pays, signs waivers, and uses the parent portal. The two are linked through a household.

Adding a single student

  1. Go to /students and click Add student.
  2. Fill in name, birthday, and (optional) starting rank.
  3. Under Household, either pick an existing household or create a new one.
  4. Add the guardian's name, email, and phone. They will get an invitation email so they can sign in to the parent portal.

A student can have more than one guardian. This matters for divorced parents or grandparents who help with pickup. Add each guardian under the same household.

Linking siblings

Two siblings should share one household. From either student's profile, open the Household panel and click Add sibling. New siblings inherit the guardians you already set up, so you do not type the same parent twice.

Linking siblings has practical payoffs: The household pays one combined invoice instead of two separate ones. Family discounts apply automatically if you have them configured in /settings/programs. * The guardian sees both children together in the parent portal.

Adding an adult student

If the student is an adult, set them as their own guardian. The profile then doubles as both. They can sign in to the portal and the mobile app with their own email.

Guardians without students

A guardian must be tied to at least one student. If you need to record a prospect or lead before they enroll, use /leads instead. Once they sign up, the lead converts into a student.
