Sending and tracking digital waivers
How to send a waiver for e-signing, track who has and has not signed, and update a waiver after a legal change.

Waivers are required reading. Rosterra makes them digital so a family can sign before their child ever sets foot in the building.
Setting up your first waiver
- Go to
/waiversand click New template. - Paste your waiver text. Markdown formatting works for headings, bold, and lists. Use the rich-text editor for cleaner formatting.
- (Optional) Add a checkbox at the bottom for "I have read and agree."
- Save.
The template is now active. Every new enrollment is automatically sent this waiver.
Requesting a signature
Most signatures happen automatically when a family signs up. To send one manually:
- Open the student's profile.
- Click Request waiver.
- Pick the template.
- The guardian gets an email with a link. They sign in the browser; no app required.
Tracking who has signed
The waivers dashboard at /waivers shows a list of every student and their waiver status. Filter to "Unsigned" to see who you need to chase.
Versioning
Waivers change over time. New legal advice, new program, new building, new state law. Rosterra versions templates automatically.
- Edit the current template and save. The current version is locked in place against historical signatures.
- A new version is created and becomes the active one.
- Existing families with a signed older version are flagged "needs new signature." They get an email asking them to sign the new version.
- Students who already signed see the old version preserved in their record, so legal protection from the prior season is intact.
What gets stored
Every signed waiver is stored with:
- The full text of the waiver as it was at signing.
- The signer's name and email.
- The IP address and timestamp.
- A drawn signature image (or typed name, if you allow that).
You can download a signed waiver as a PDF for your records or for a lawyer.
