Running a paid event with registration
How to set up a one-off event (seminar, test, demo) that families can register for and pay online.

Events in Rosterra are one-off happenings that are not part of your regular weekly schedule. Seminars, rank tests, summer camps, holiday demos, and parent's-night-out are all events.
Creating an event
- Go to
/eventsand click New event. - Set the name, date, start and end time, and location.
- Pick a price. Free is fine. Charge in dollars or use a coupon-code price for early registration.
- Set the capacity.
- (Optional) Restrict who can register: members only, specific rank or above, specific age range. Useful for rank tests and advanced seminars.
Public registration
Every event has a public registration page at {your-slug}.getrosterra.com/events. Link it from your social posts, send it in a newsletter, or post it on your bulletin board with a QR code.
If you charge for the event, registration takes the family through Stripe checkout. If it is free, they enter their name and confirm.
Tracking who is coming
The registration list lives on the event detail page. You can:
- See who has paid and who has a pending payment.
- Check people in on the day.
- Export the list as CSV for printing.
Day-of check-in
Run the event check-in from your phone, tablet, or front desk. Tap each attendee as they arrive. Anyone walk-up who is not on the list can register on the spot at the door, including paying with a card via Stripe.
Cancelling an event
Cancel from the event detail page. Rosterra refunds every paid registration automatically and emails everyone a notice. Use this only if you really must, because automatic refunds are not reversible.
After the event
Rolling the event into the wider system:
- Attendees who are not yet members are now leads. They show up on
/leadswith the event tagged, so your follow-up team can convert them. - Attendees who are already members get the event added to their attendance history.
- Rank tests automatically file the pass/fail outcomes as promotion requests, which an admin then approves.
