Promoting a student to the next rank

The promotion workflow: instructor recommendation, head-instructor approval, and the ceremony.

Promotions are a big day for students. Rosterra runs a structured workflow so the right people approve, the family is notified, and the rank update is recorded cleanly.

The standard workflow

  1. An instructor recommends. Open the student profile, click Promote, and pick the next rank or stripe. Add a short note about why they are ready.
  2. Head instructor approves. A head-instructor-role user reviews the queue at /promotions and approves or declines. They can also send it back with a comment.
  3. The promotion is recorded. Once approved, the student's rank updates immediately. Their certificate is generated at /portal/certificates and a notification goes to the parent.

A school with one instructor (who is both teacher and head) can compress this. The same user files and approves; both steps happen in the same click.

Promoting a group

If you are running a graduation ceremony, batch-promote everyone at once. Go to /promotions and click Batch promote. Pick the rank or stripe, then check the students who are graduating. One approval handles the whole list.

Rank tests

Some schools run a formal exam before promotion. Rosterra supports this at /rank-tests. Schedule a test, register candidates, record pass or fail per candidate. Passing automatically files the promotion for approval.

What the family sees

  • An email with the student's new rank.
  • A push notification on the mobile app (if installed).
  • A certificate on the parent portal at /portal/certificates. Most parents print these.
  • The new rank shows on the student's profile in the portal and on the mobile app immediately.

Reversing a promotion

If a promotion was filed by mistake, open the student profile and click Demote. The rank goes back, the certificate is removed, and the change is logged. Use sparingly.
