How make-up credits work

When a student misses a class, you can issue a make-up credit. The family then uses the credit to attend a different class without paying for it.

When credits are created

Rosterra creates a make-up credit automatically when:

• The student is enrolled in a class and is marked absent.
• The class was canceled (weather, holiday, instructor sick) and you choose to credit everyone.

You can also create one manually from a student's profile if a family asks. Click Add make-up credit and pick the reason.

Configuring the policy

Go to /settings/automations and find Make-up credits. Options:

• Issue automatically on absence. Yes or no. Most schools say yes.
• Issue automatically on canceled class. Yes or no. Most say yes for weather, no for instructor swaps.
• Expiration. Credits expire after N days, weeks, or never. Most schools use 30 to 60 days.
• Maximum stacking. Cap on how many credits one student can hold at once. Stops a family from racking up unused credits over years.

How families redeem

The family signs up for any eligible class in the parent portal or mobile app. Eligible classes are determined by the credit type (a missed Tuesday Yellow Belt class can be made up at any other Yellow Belt class, but not a Black Belt class).

They tap Use make-up credit at signup. The credit is consumed when the student is checked in to the make-up class. If they no-show the make-up, the credit reverts and is reusable.

Front desk redemption

If a family asks at the desk, take attendance the normal way. You see a "make-up credit available" badge next to the student's name. Confirm with one tap.

Expiring credits

Expired credits show up on the family's profile as inactive. You can extend an expired credit by clicking Extend and picking a new date, useful for a long-standing family who deserves grace.

The family's portal shows them their credit balance, recently expired credits, and which classes are eligible. If they want to schedule a make-up, the app walks them through it.

What credits do not cover

• Events, parties, and tournaments. Those have their own refund and rescheduling policies.
• Private lessons. Most schools handle private lesson make-ups directly with the instructor.
• Trial classes. A prospect on a free trial is not yet a member and does not earn credits.
