Sharing your class schedule to Google Calendar
How to publish a public calendar feed of your classes so families can subscribe in their own calendar app.

Many families live in their phone calendar. Rosterra exposes a public, read-only calendar feed (iCal) so families can subscribe to your schedule in Google Calendar, Apple Calendar, or Outlook.
What gets shared
- Every weekly recurring class on the public schedule.
- Every public event (parties, tournaments, seminars).
- Class cancellations as updates.
- Reschedules as moved events.
What does not get shared:
- Private staff-only events.
- Family-specific information (attendance, payments).
- Anything tagged "internal".
Sharing the calendar
Go to /settings/public-site. Find the Calendar feed section. You see two URLs:
- Public ICS URL. Anyone can subscribe to this from their calendar app.
- Embed URL. For pasting into your marketing website as a calendar widget.
Adding to Google Calendar
A family with the URL can:
- Open Google Calendar.
- On the left, find Other calendars and click the plus.
- Choose From URL.
- Paste the ICS URL.
- Click Add calendar.
Your school's schedule shows up alongside their personal events. Updates flow in automatically; they do not need to refresh anything.
Adding to Apple Calendar (iPhone)
- Settings → Calendar → Accounts.
- Add Account → Other → Add Subscribed Calendar.
- Paste the ICS URL.
- Save.
Adding to Outlook
- Open Outlook Calendar.
- Right-click on Other Calendars.
- Add Calendar → From Internet.
- Paste the URL.
Per-class feeds
If a family only wants to subscribe to one class (their kid's Tuesday 5pm), they can. The class page in the parent portal has its own ICS URL that only includes that class.
Updating
Calendar apps refresh subscribed calendars on their own schedule, usually every 1 to 4 hours. If a family complains they did not see a cancellation, the answer is almost always "your calendar app has not refreshed yet." Most refresh frequencies can be changed in calendar settings.
What about two-way sync?
Rosterra's calendar feed is read-only by design. If a family adds an event to their own calendar, it does not show up in Rosterra. The flow is one-way: your Rosterra schedule lands in their calendar, never the other way.
If you want to bring Google Calendar events into Rosterra (for staff scheduling, for example), that is a separate feature on the roadmap.
