Leaving Gymdesk

Move from Gymdesk to QuickKicks in a weekend.

Gymdesk (formerly Martial Arts on Rails) is a well-designed, multi-vertical product. The trade-off: martial arts is one of several customer segments, not the spine. We move your members, memberships, ranks, and payment history for free, and you keep Gymdesk running until you're ready to switch off.

Why schools leave Gymdesk

The patterns we hear from Gymdesk switchers

Every switch is its own story, but these come up enough that they're worth naming. If any of them sound like your Gymdesk setup, we've seen it before.

  • It's built for gyms, swim schools, dance studios, and martial arts schools in one product. The belt isn't the central object.
  • Belt tracking is solid but generic. Eligibility surfacing, requirement checklists, and grading-as-events feel less native.
  • Lead pipeline is functional but thin. Trial follow-up logic lives in tags rather than a real funnel.
  • Parent app and member portal cover the basics; engagement features (progress journey, retention nudges) require add-on configuration.
  • Owners that started on Gymdesk for the price end up wanting the depth of a martial-arts-first product.

What comes across

Your school, recognizable on day one

We bring over the things that make your school yours, regardless of which Gymdesk fields they live in today.

Members and families

Every student and guardian, linked into family accounts, with contact details and notes intact.

Memberships and plans

Your membership types, prices, and billing cycles, recreated so your roster bills the way it did before.

Belt and rank history

Current rank and promotion history come across, so nobody restarts their journey on day one.

Payment history

Past invoices and payment records, so your reporting and a member's history don't begin from a blank slate.

Attendance history

Where your current software can export it, attendance history comes too. We confirm what's includable during prep.

Waivers and documents

Signed waivers and documents transfer where they're exportable. Anything that can't, we help you re-collect.

Getting the export from Gymdesk

The exact steps for Gymdesk

You don't have to figure out where Gymdesk's export lives. Here's the path; we do the rest.

  1. 1

    Pull the members CSV

Members, then Export, full CSV. Gymdesk exports family links, memberships, and contact details together.

  2. 2

    Pull the transactions CSV

Financials, then Transactions, full date range. CSV export carries payment history per member.

  3. 3

Send us both, plus your rank ladder

Email the files. Include a screenshot or note of your belt/rank ladder per program. We import everything else.

Gymdesk-specific gotchas

The things we watch for on every switch

These don't break the migration. They just need a heads-up so nobody's surprised.

  • Skill checklists transfer per item

Gymdesk's skill checklists become QuickKicks curriculum items, mapped to the matching rank. Each student keeps their checked-off skills.

  • Recurring billing recollects cards

Gymdesk uses Stripe directly but on its own connected account. Card details don't transfer across Stripe accounts for security reasons; families re-add their card via a one-click link to your QuickKicks Stripe Connect account. We watch your first cycle.

  • Multi-location pricing flattens

Gymdesk meters by active member; QuickKicks pricing is per-location flat. We'll show you the comparison up front; most multi-location martial arts schools save real money on the move.

  • Custom fields map to QuickKicks fields

Any custom member fields you've defined in Gymdesk (medical notes, emergency contacts, custom dropdowns) translate to QuickKicks custom fields during import. We confirm the mapping with you before go-live.

How the switch works

Three steps, and we do the heavy part

  1. 1

    Send us an export

From your current CRM. We handle the column mapping, whatever the headers are called. You don't reformat anything.

  2. 2

    We import and you review

Members, guardians, memberships, ranks, and payment history land in your QuickKicks account. You check it against your roster before anything goes live.

  3. 3

Go live with us on call

You pick the go-live date and keep your old system running until then. We're on call through your first full billing cycle so nothing slips.

FAQ

Switching from Gymdesk, answered

If you're under their free tier and not paying, the question is depth, not cost. Schools that switch from Gymdesk to QuickKicks usually do it because they've outgrown how generic the product feels for martial arts specifically.
